We understand that circumstances may arise that necessitate cancelling or rescheduling appointments or requesting refunds for services. This Refund Policy outlines our guidelines regarding cancellations, rescheduling, and refunds for various services we offer.
By scheduling an appointment or purchasing our services, you agree to the terms outlined in this policy. We encourage you to read this policy carefully and contact us if you have any questions.
Individual Therapy Sessions
Cancellation and Rescheduling
We understand that situations arise that may require you to cancel or reschedule your appointment. Our policy regarding individual therapy sessions is as follows:
- 24+ Hours Notice: If you need to cancel or reschedule an appointment, please provide at least 24 hours' advance notice. This can be done by phone, email, or through our online scheduling system. With sufficient notice, no cancellation fee will be charged, and you can reschedule at your convenience.
- Less than 24 Hours Notice: Cancellations or rescheduling requests made with less than 24 hours' notice will incur a cancellation fee of 50% of the session fee. This fee covers the reserved time that could have been offered to another client.
- No-Shows: If you fail to attend your scheduled appointment without any prior notification, a no-show fee of 100% of the session fee will be charged.
Exceptions
We recognize that emergencies and unexpected illness can occur. In cases of genuine emergencies or sudden illness, the cancellation fee may be waived at the discretion of your therapist. Documentation may be requested in some cases.
Refunds for Prepaid Sessions
If you have prepaid for individual therapy sessions:
- Unused prepaid sessions may be refunded upon request, less a 10% administrative fee.
- Refund requests must be submitted in writing to billing@wealthnaya.com.
- Refunds will be processed within 7-10 business days to the original payment method.
Group Therapy Programs
Cancellation and Refunds
Due to the nature of group therapy programs and the limited spots available, our cancellation and refund policy is structured as follows:
- 14+ Days Before Program Start: Full refund minus a 15% administrative fee.
- 7-13 Days Before Program Start: 50% refund of the program fee.
- Less than 7 Days Before Program Start: No refund will be provided.
- After Program Has Begun: No refunds will be issued once the program has commenced. In exceptional circumstances, a partial credit toward future services may be considered at our discretion.
Missed Group Sessions
Individual missed sessions within a group therapy program cannot be refunded. However:
- We may provide session materials or summaries when possible.
- In some cases, if advance notice is given, you may be able to attend a make-up session if one is available.
Mindfulness Training and Workshops
Cancellation and Refunds
For our mindfulness programs, workshops, and specialized services:
- 14+ Days Before Event: Full refund minus a 10% administrative fee.
- 7-13 Days Before Event: 75% refund of the program fee.
- 3-6 Days Before Event: 50% refund of the program fee.
- Less than 3 Days Before Event: No refund will be provided.
Transfers
If you are unable to attend a workshop or program, you may transfer your registration to another person at no additional cost, provided you notify us in writing at least 24 hours before the event. Please send transfer requests to programs@wealthnaya.com with the new participant's name and contact information.
Package Services
For clients who purchase service packages (multiple sessions at a discounted rate):
- Packages are non-refundable once services have begun.
- Unused sessions within a package may be transferable to another service or another individual at our discretion.
- Packages typically have an expiration date (usually 6-12 months from purchase), after which unused sessions cannot be redeemed or refunded.
Insurance and Third-Party Payments
For services billed to insurance or third-party payers:
- Cancellation fees and no-show fees are typically not covered by insurance and are the client's responsibility.
- Refunds for services covered by insurance will be processed according to the terms of the insurance contract and may be returned directly to the insurance company rather than to the client.
- Clients are responsible for any services or fees not covered by their insurance provider.
Payment Processing Timeframes
When a refund is approved:
- Credit/Debit Card Payments: Refunds typically process within 7-10 business days.
- Bank Transfers: Refunds may take 7-14 business days to appear in your account.
- Other Payment Methods: Processing times may vary.
Please note that while we process refunds promptly on our end, the timing of when the refund appears in your account depends on your financial institution's processing timeframes.
Service Quality Guarantee
At Wealthnaya, we are committed to providing high-quality mental health services. If you are dissatisfied with your therapy experience:
- We encourage you to discuss your concerns directly with your therapist.
- If issues cannot be resolved directly, please contact our Clinical Director at director@wealthnaya.com to address your concerns.
- In cases where services clearly did not meet professional standards, we may offer a partial or full refund at our discretion.
Please note that therapeutic outcomes cannot be guaranteed, and refunds are not provided based solely on lack of desired results, as therapeutic progress depends on multiple factors including client participation.
Cancellations by Wealthnaya
In rare instances, Wealthnaya may need to cancel or reschedule services due to therapist illness, emergency, or other unforeseen circumstances. In such cases:
- We will make every effort to notify you as soon as possible.
- You will be offered the option to reschedule or receive a full refund for the cancelled service.
- If a program or workshop is cancelled by Wealthnaya, all registrants will receive a full refund.
Force Majeure
Wealthnaya will not be liable for any failure or delay in performing our obligations where such failure or delay results from any cause beyond our reasonable control, including but not limited to:
- Natural disasters or severe weather conditions
- Government actions or regulations
- Public health emergencies
- Power failures or internet outages
- Civil unrest or terrorist threats
In such circumstances, we will make reasonable efforts to offer alternative service delivery methods (such as telehealth) or reschedule services. If rescheduling is not possible and services cannot be delivered, appropriate refunds will be issued.
Telehealth Services
For telehealth services, our standard cancellation and refund policies apply as outlined above. Additionally:
- If technical difficulties on Wealthnaya's end prevent a session from taking place or significantly disrupt a session, you will be offered a reschedule or a full refund.
- If technical difficulties on your end prevent you from attending or completing a session, our standard cancellation policy applies, though we may make exceptions at our discretion.
- It is your responsibility to test your technology setup prior to scheduled telehealth sessions.
How to Request a Refund
To request a refund for any service:

Wealthnaya reserves the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting on our website. We encourage clients to review this policy periodically. Significant changes will be communicated directly to active clients via email.
